QuickBooks Online and Senda

QuickBooks Online is Intuit's cloud accounting software for small businesses: suppliers, bills, payments and the chart of accounts, in one company file.

Senda keeps the record of each shipment, and turns its saved landed-cost estimates into a bills file laid out in QuickBooks Online's own bill-import columns: one bill per charge, booked to your accounts.

Accounting bills are on the Operations plan.

Where Senda stops

Senda doesn't connect to QuickBooks Online or post anything to it. It hands you a file and you import it. The amounts are estimates for you to confirm, and the file carries no tax code.

Using QuickBooks Online with Senda

Senda writes the bills; QuickBooks Online imports them, and you pay them there.

    Name your accounts

    In Settings → Accounting, enter the QuickBooks Online account each landed-cost type books to: US customs duties and fees, freight, insurance and brokerage. A type left blank carries a suggested name QuickBooks rejects, so set them all or edit the column before importing.

    Download the bills file

    On Reporting, choose the dates and pick Bills for QuickBooks from the page's menu. Senda writes one bill per landed-cost charge, from the estimates saved on your shipments in those dates.

    Import it into QuickBooks Online

    Import the file with QuickBooks Online's own bill import. Each charge keeps the same bill number every time it is exported, so a repeat import is flagged rather than booked twice.

    Confirm before you pay

    Each bill is an estimate worked out from the shipment, and its memo says so. Check it against the real invoice before paying it in QuickBooks Online.

When to keep QuickBooks Online

  • Keep QuickBooks Online for your books, payments and reconciliation. Senda keeps no general ledger; it writes bills for QuickBooks to import.
  • Keep your own chart of accounts. Each landed-cost type books to the account you name in Senda, so the file follows your QuickBooks accounts.
